Shareloom is a marketplace where people and local businesses hire out things they own. To run it we need some information about you. This policy explains what we collect, why, who we share it with and the choices you have.
Shareloom is operated by Share Tech Pty Ltd (ABN 26 699 447 535), trading as Shareloom (“Shareloom”, “we”, “us”). We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
We collect the information you give us, information created when you use Shareloom, and a small amount from the services you choose to connect.
- Account details: your name, email address, mobile number and country code, password (stored only as a one-way hash, never in readable form), and optionally a profile photo and date of birth.
- Addresses: the address you give for delivery or collection, and a lender's pickup location. We use these to work out distances and to arrange handover.
- Listings: the photos, descriptions, prices, availability and location (suburb) of the items you list. When we resize a photo you upload, hidden metadata such as the GPS location your phone may record is removed. If a photo can't be processed it is stored as uploaded, so it's worth turning off location tagging for photos you plan to list.
- Bookings: what you hired or hired out, the dates, add-ons and choices, handover and return times, the booking's status, and any problem reported at return.
- Payments and payouts: the amounts charged, refunded and paid out, and the reference numbers Stripe gives us. Card details go straight to Stripe; we never see or store your full card number. If you are a lender, Stripe collects the identity and bank details it needs to pay you, and we keep only the account reference and whether payouts are set up.
- Messages: the messages you send through Shareloom's chat, and your emails with us.
- Reviews you write after a completed hire.
- Technical information: your IP address, browser and device type, the pages you visit and when, collected through our servers and the cookies described below.
- If you sign in with Facebook: your name, email address and profile picture from your Facebook account. We don't receive your Facebook password or post anything on your behalf.
- If you sign up through one of our website forms: your name, email address and whether you want to hire or lend.
You can browse Shareloom without an account. To list an item, book a hire or message another member you need an account in your own name, because the other person needs to know who they are dealing with.
How we use it
- To run your account and let you sign in.
- To show your listings and make bookings: sending requests to lenders, confirming them, and telling each side what they need to know about the hire.
- To take payments, pay lenders, hold and return bonds, and process refunds.
- To decide bond claims when a lender reports a problem at return.
- To send the emails a booking needs, such as requests, confirmations, hire details, reminders and receipts.
- To answer your questions and help sort out problems between members.
- To keep Shareloom safe: preventing fraud, misuse and payments that don't belong to the person making them, and enforcing our Terms and Conditions.
- To send you news and offers about Shareloom. Every marketing email has an unsubscribe link.
- To understand how the site is used so we can improve it.
- To meet our legal obligations, such as keeping financial records and responding to lawful requests.
We don't sell your personal information.
What other members see
Hirers and lenders never see each other's email address or phone number. You talk through Shareloom's chat.
- Anyone can see a listing's photos, description, price and suburb, and the lender's first name. Reviews are public too, shown with the reviewer's name.
- Once you book, the lender sees your name and suburb, and you see the lender's name (or business name) and suburb.
- The street address for handover (the lender's pickup address, or the hirer's delivery address) is shared with the other person from 2pm (Sydney time) on the day before the hire, and not before.
Information stored overseas
Our database, servers and uploaded files are in Sydney. Some of the providers above are based overseas and may store or process information outside Australia, including in the United States: Stripe, HubSpot, Google and Meta. We use providers that protect personal information to a standard similar to the Australian Privacy Principles.
How we keep it secure
The site and our API only run over encrypted connections (HTTPS). Passwords are stored as one-way hashes. Card details are handled by Stripe, which is certified to the payment card industry's security standard (PCI DSS). Access to our systems is limited to the people who need it to run Shareloom.
No system is perfectly secure. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.
How long we keep it
We keep your information while your account is open. If you close your account, we deactivate it and take your listings off the site. We keep booking, payment and payout records for as long as the law requires (tax law generally requires five years) and while they may be needed to resolve a dispute or claim. After that we delete or de-identify them.
Seeing, correcting and deleting your information
You can update most of your details in your account at any time. You can also ask us for a copy of the personal information we hold about you, to correct it, or to close your account and delete what we don't need to keep, by emailing hello@shareloom.co. We'll reply within 30 days. We may need to confirm your identity first, and in a few cases the law lets us refuse (for example, if giving access would reveal another person's information); if so, we'll tell you why.
You can unsubscribe from marketing emails with the link in any of them. Booking and account emails can't be turned off while you have an account, because they tell you about hires and money.
Age
Shareloom is for people aged 18 and over. We don't knowingly collect information from anyone younger. If you think a child has given us their details, please tell us and we'll delete them.
Questions and complaints
If you have a question or a complaint about how we handle your personal information, email hello@shareloom.co. We'll look into it and reply within 30 days.
If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
When the way we handle information changes, we'll update this policy and the date at the top. If a change affects you significantly, we'll also tell you by email or on the site before it takes effect.
